SwiftCAM is a proprietary software product developed by Swift ProSys, enabling universities and education institutes to scan and store their students Answer booklets for future references.

Any University or Educational Institute would require maintaining their students’ answer booklet for future references. Currently, they keep it as a hard copy which requires additional overheads for filing, storing and preserving. It also involves the usage of the physical location where these to be appropriately staked in bins/racks. Retrieving these back for future references takes a long time in identifying the correct document unless otherwise duly filed/indexed. Further, it also has the viability of documents getting lost or damaged or tampered, which could be due to various reasons.

The limitations of maintaining the answer booklet as hard copy can be overcome by scanning the hard copies and storing them as a soft copy / digital image files. It enables the reduction on the overhead cost by the University or the Educational Institute and can store and retrieve the answer booklets of the students as and when required naturally. Soft copy files can be stored for a more extended period till and even after a student completes their graduation. It also requires less storage space with secured control preventing document loss. The scanned answer booklets can also be stored in a different location so that even if it is damaged or lost in one source can be retrieved from the other sources. Also handling soft copies becomes so easy, and one can take printouts of only what is required and not the all.

To facilitate this, Swift ProSys has developed a software solution, SwiftCAM, to the universities and educational institutes. This software is compatible with Windows version 7 and the latest. This software is so user-friendly and simple to use. As the instructions are simple, there is no requirement for a specific skill or highly skilled personnel to operate this, and no extensive training is required. The software has the features to scan documents, crop to required dimension or area, split based on answer book pages, number each of the images uniquely and sequentially, store the scanned images to the desired location and publishes the documents to appropriate servers and sites as and when required. Currently, this software can be used as-is and in conjunction with Canon 1500D camera and will update in the future.

The scanning or the image capturing process is executed with the camera and will process by the software. At presents, the images are captured in non-editable image format and are being developed to include editable and non-editable PDF format in the later versions. The scanned photos resolution ranges from 72dpi to 300dpi depending upon the requirement and the purpose of publication. The default setting is 72dpi as mostly the answer books are scanned only for storing purpose that needs to utilize lesser storage space. Even when scanned at a higher resolution of 100dpi or more, the image format is compressed considerably by the software from MBs to KBs. The user has the option to choose on the resolution required from the user interface.

Any documents, when scanned, in most of the scanning machine, by default, will have a black mark or background area of the base plate or the scanning plate captured. SwiftCAM determines these outside black backgrounds and marks it for removal. Based on the user confirmation, these areas will be removed or cropped, resulting only the required area, i.e. the document area is only available in the images. User will also be able to override the auto crop confirmation and modify the crop area manually based on their requirements. Sometimes users will be in need to scan the page in a different layout but would like to have the images displayed in the original layout. To overcome this, users can browse the answer booklet in a different layout as may be suitable, and the software enables the users with an option to rotate the images as appropriately. Swift ProSys could customize this function in the software.

While scanning double-page answer booklet, the image will capture as a single image. It may lead to confusions on page numbering unless otherwise the answer books are provided with page barcode. SwiftCAM is brilliant enough in automatically identifying the page (answer book pages) splits (different pages), and it divides the images accordingly. These image splits are uniquely and sequentially numbered accordingly. Users are allowed to edit the image/file name as may be required.

Image file storing is done automatically by the software. By default, it considers the location where the software is installed as the image file location but can be changed by the user based on the requirement. The software also has the option to push/publish the files to servers or FTPs as may be required, which will be customized during or after the software installation.

Swift ProSys carefully have ensured not to include image editing option in the software as that may lead to tampering the scanned image. Even if there are any noise such of oil marks, ink marks etc. in the documents/answer books being scanned, these are examined and retained as such (the oil marks, ink marks etc. are not removed) to ensure document authenticity.

While SwiftCAM is just scanning software, Swift ProSys can also provide the hardware support by providing scanning machines along with the software based on requirements. The hardware comes with a black non-reflecting and non-refractive base mounted with a vertical channel to slide the camera. The default camera will be a Canon 1300D which has been validated and tested to confirm the suitability with the software features. The vertical aluminium channel also has provision to fit your monitor connected to a CPU or server.
